Deputation request
Please complete a Deputation Request online. You may also print and submit it by email to the City Clerk. If you are using materials in your presentation, such as PowerPoint slides or handouts, you must submit the materials in advance of the meeting.
If you want to present before a Committee of the Whole meeting, you must submit your request at least seven days in advance of the meeting.
If you want to present to Council, you need to submit your request by 10 a.m. on the day of the meeting .
Please note that all presentations are live streamed and information on and attached to the request form may be made available to the public.
Presentation rules and etiquette
While presenting, you must follow these rules:
- you'll have five minutes to present at the start of a Council or 15 minutes at a Committee of the Whole meeting
- if more than one person is part of the delegation, you'll need to appoint one spokesperson
- state your name before you begin speaking
- all phones must be turned off or set on vibrate during the meeting
- only begin speaking once you've been introduced by the Head of Council or Chairperson
- you can only speak on the topic outlined in your Deputation Request
The following actions are not tolerated:
- speaking disrespectfully to anyone
- using offensive word or gestures or making abusive comments
- disobeying the rules and procedures or a decision of Council
